Description:

This position provides support to Health Plan Service Administration management and staff through a variety of administrative functions. Under the guidance of the Membership Administration Manager, the Intake Contract Coordinator manages the loading and validation of group rates, Broker commission percentages and Broker demographic details.



Essential Responsibilities:

  • Responsible for intake of group control forms into department; performing initial quality control review and making determination regarding readiness for processing in the department.

  • Checks each group control form into department and verifies information against CM system data for updates that may be required to basic group demographic data. Performs update in CM within timeframe specified in departmental policies.

  • Compiles, formats and enters data into spreadsheets or department systems as needed may include, but is not limited to, intake, Excel, tracking - Sales Connect, Common Membership and/or EPIC systems.

  • Produces correct and complete group agreements for renewing groups, new groups or groups requesting changes. Assembles, mails and maintains signed copies of group agreements. Produces copies upon request.

  • Serves as intake point for return of Personal Plans renewal change notices and files returns in accordance with regulatory requirements and departmental policy.

  • Coordinates group agreement production activity with EOC production area to ensure data and process integrity.

  • Responsible for analyzing tracking database and sending reminders to Sales and Account Management regarding outstanding renewals.

  • With assistance from a Benefit System Analyst, develops and runs custom reports from CM and Sales Connect systems.

  • Responsible for maintaining desk top manual of all functions performed by this position.

  • Services as a point of contact for Sales and Account Management requests for group renewal/installation status and for copies of group agreements and EOCs.

  • Acts as a backup to other key departmental positions including administrative assistant.

  • Assists analyst staff with production of reports and documents in Microsoft Word, Excel, Access and PowerPoint.

  • Manages and maintains the departmental group and individual contract files in accordance with regulatory requirements and department policy.

  • Provides assistance with preparation of regulatory filings as needed.

  • Schedules meetings, takes notes, issues minutes, etc. as needed.

  • Consistently supports compliance and the Principles of Responsibility (Kaiser Permanente's Code of Conduct) by maintaining the privacy and confidentiality of information, protecting the assets of the organization, acting with ethics and integrity, reporting non-compliance, and adhering to applicable federal, state and local laws and regulations, accreditation and licenser requirements (if applicable), and Kaiser Permanente's policies and procedures.

  • The Contract Coordinator's access to protected health information (PHI) will be limited to the minimum necessary required to effectively perform the job.

  • Basic Qualifications:

    Experience

  • Minimum three (3) years in a support role.

  • Education

  • Bachelor's degree OR four (4) years of experience in a directly related field.

  • High School Diploma or General Education Development (GED) required.

  • License, Certification, Registration
