**THIS POSTING IS FOR A PROCEDURE SCHEDULER FOR THE PAIN CLINIC.

Under the direction and oversight of the ASC manager(s) and Chiefs and in close collaboration with the surgical Clinical Operations managers and Chiefs, the Perioperative Scheduling Coordinator is responsible for ensuring interdepartmental collaboration of surgery scheduling in an effort to achieve optimized OR schedules through monitoring, reporting and cross-functional problem solving. Oversees and improves all aspects of the perioperative scheduling process both w/in KPWA and contracted hospitals and surgery centers.

Essential Responsibilities:
  • Interdepartmental collaboration: Leads cross-functional perioperative scheduling huddles to assure optimization of surgery schedules and utilization with consideration of the various competing demands of surgical specialties that need to be balanced (i.e. Hospital OR, ASC, Clinic and Call). Establishes relationships with leadership and staff in surgical and procedural sections to ensure alignment, coordination and to support internalization efforts and meet utilization targets. Establishes relationships with partner hospitals and surgery centers to ensure efficient processes are in place to facilitate optimal scheduling, monitoring and reporting.Works closely with Local Administration to ensure integration of surgeons' clinic schedules with OR schedules.
  • Monitoring and reporting: Develops reports and other tools as appropriate: to proactively monitor performance against business targets for timely intervention and problem solving; to be communicated regularly to appropriate clinical and administrative partners and to identify trends and actively participate and engage others in problem resolution. Coordinates and/or gathers and analyzes data to determine efficient and cost effective practices.
  • Leadership & Coaching: Coaches a team of surgery schedulers for high performance. May supervise a team of surgery schedulers located in one or multiple locations depending on business need. May hire, develop and performance manage staff per HR policies and labor contract provisions.
  • Training: Conducts training for new hires as well as ongoing staff training to ensure effective surgery scheduling. Develops and implements training and tools to monitor performance, productivity and resource utilization indicators.
  • Process development and continuous improvement: Develops appropriate standard processes to ensure optimal functioning of the surgery scheduling team and to facilitate cross training and coverage. Focuses on continuous process improvement. Regularly seeks input from staff and others on how to improve efficiency and  performance.

  • Basic Qualifications:

    Experience

  • Minimum five (5) years of surgical scheduling management required.

  • Education

  • Associate's degree in health care administration or related field OR five (5) years of experience in a directly related field.

  • High School Diploma OR General Education Development (GED) is required.

  • License, Certification, Registration

  • N/A


  • Additional Requirements:

  • Proficiency in Epic - CM and Episode of Care encounters

  • Excellent verbal and written communication.

  • Proficient computer skills.

  • Excellent analytical and problem solving skills.

  • Proficient in Microsoft Office.

  • Proficient in Excel and overall spreadsheet management/pivot tables.

  • Ability to interpret data into actions.

  • Ability to easily learn multiple computer and reporting systems.


  • Preferred Qualifications:

  • Bachelor's degree in health care administration or related field.

  • Proficiency in Epic Op Time (Epic Op Time is the Epic module for ambulatory surgery scheduling) and Proficiency in PICIs (PICIs is a program used to help facilitate OR scheduling)
