Description:
Provides clerical support to the Hospital Services department at St. Joseph Hospital and/or Good Samaritan Hospital. Prepares and maintains various provider schedules and types numerous reports for the department. Makes members/patients and their needs a primary focus of one's actions; develops and sustains productive member/patient relationships. Actively seeks information to understand member/patient circumstances, problems, expectations, and needs. Builds rapport and cooperative relationship with members/patients. Considers how actions or plans will affect members; responds quickly to meet member/patient needs and resolves problems.

Essential Responsibilities:
  • This position, knows and complies with all Kaiser Permanente quality, safety, and emergency policies and procedures. Demonstrates quality and effectiveness in work habits and clinical practice in every interaction with patients, colleagues, providers, and leadership. Ensures patient safety in the preparation and provisioning of care related to but not limited to medications, procedures, infection prevention, fall prevention, including consistent use of two patient identifiers and procedural time outs. Reports safety hazards, accidents and incidents, and unsafe working conditions promptly.
  • Accesses and compares physician daily appointment schedules, edits daily reports and ensures physician rounds and triage report logs reflect correct patient data. Updates physician-rounding logs. Performs data entry duties to input rounding and triage logs into the computer system.
  • Prepares daily and/or monthly reports as requested (i.e. triage evaluation census, patient evaluation census, Utilization report, DT Worksheet, Readmission's report) using spread sheet and word processing computer applications.
  • Acts as a liaison between physician providing rounding services, primary providers, mortuaries, nursing homes, health plan staff and patients to obtain or provide information as needed.
  • Prepares various correspondence for physicians such as memorandums, presentation documents, meeting minutes, and physician evaluations. Orders office supplies and maintains office equipment. Performs administrative duties for the department such as making travel arrangements, scheduling meetings, distributing and sending faxes and ordering food for meetings.
  • Orients new physicians to the department by ordering necessary items such as lab coats, pagers, keys, lockers, etc. Acts as a liaison between CPMG Human Resources and physician for credentialing and other necessary paperwork that is required of new physicians.
  • In addition to defined technical requirements, accountable for consistently demonstrating service behaviors and principles defined by the Kaiser Permanente Service Quality Credo, the KP Mission as well as specific departmental/organizational initiatives. Also accountable for consistently demonstrating the knowledge, skills, abilities, and behaviors necessary to provide superior and culturally sensitive service to each other, to our members, and to purchasers, contracted providers and vendors.
  • Basic Qualifications:
    Experience
  • Minimum of one (1) year of combined experience with word processing, data entry/tracking database and spreadsheet computer applications.
  • Two (2) years of experience in a medical or business office, involving coordination of schedules for providers/employees.

  • High School graduation or equivalent.

  • Additional Requirements:
  • Much of this experience must have been of a very independent nature such as: experience with very limited on-site supervision, or experience with significant self-directed accountabilities.
  • Due to the independent nature of this position, the incumbent must be punctual and have an excellent attendance record.
  • Ability to prioritize daily tasks continuously throughout his/her shift.
  • Ability to learn the data tracking system.
  • Must be able to communicate and interact effectively with external and internal customers to include physicians.
  • Demonstrated customer service skills, customer focus abilities and the ability to understand Kaiser Permanente customer needs.
  • Testing Requried: Typing speed of 35 w.p.m. required.
