The Clinical Faculty Recruitment Supervisor is responsible for aspects of the coordination and administration of the clinical faculty recruitment at KP School of Medicine to ensure that highly qualified candidates are identified and presented to the hiring committees in a timely and professional manner.  This includes, but not limited to, oversight of the applicant tracking process, candidate identification and screening, coordination of interview and selection activities, contracting and initial onboarding.  This role partners closely with internal and external stakeholders to manage the end-to-end recruitment process and workflow for clinical faculty positions.

Essential Responsibilities:
  • Conducts full life-cycle recruitment activities which include: recruitment strategy sessions with Hiring Manager, candidate screening, interview management, offer determination and extension to candidates.
  • Supervises and oversees clinical faculty recruitment staff, including performance management, recruitment, assignment of work, mentoring, and coaching.
  • Mentors and manages teams and/or resources and check the quality of work.
  • Cultivates and sustains strong relationships with the operational leadership, physician leadership, HR partners and others involved in the recruitment process at multiple levels within the organization.
  • Develops appropriate screening processes, interview guides, and communication templates to ensure timely, effective candidate management and selection.
  • Creates hiring effectiveness reports and metrics around positions, candidates, and sourcing that can be used internally for resource allocation, prioritization, and financial planning.
  • Works with key internal partners to assure that the recruitment strategies and talent pipelines are appropriately developed and maintained.
  • Monitors and maintains project deliverables to include project plans, project dashboards, status reports, project charters, and risk/action/issue/decision documentation.
  • Acts as project liaison by representing the project activities as needed with stakeholders, project team, staff, and management.
  • Assists in the identification of gaps, issues, concerns, and constraints along with senior management and stakeholders.
  • Prepares and delivers solution design documents to drive alignment, buy-in and agreement of proposed programs/processes/tools.
  • Communicate (written and orally) in a highly effective way with senior executives - focusing on content, outcomes and value relevant to business leaders.
  • Partners with various Kaiser Permanente Units and Offices, including KP SOM HR on recruitment services and HR policies and procedures.
  • Liaison with KPSOM Academic Affairs for academic appointment process for clinical
  • faculty members.
  • Builds relationships with hiring managers through consultation (i.e. department specific meetings/presentations) and customer service regarding posting options, candidates, placement, policies and procedures regarding clinical faculty recruitment.
  • Assists with orientation of new clinical faculty to KPSOM.
  • Prepares and disseminate presentation materials and agenda for trainings, orientation, interviews, and panel meetings as needed, including taking minutes and track action items.
  • Assists in the organization, compilation, and maintenance of confidential and sensitive data, including employee data, performance evaluation and compensation information.
  • Maintains and supports a culture of compliance, ethics and integrity. Responsible for ensuring ongoing compliance for Recruiting. Maintains knowledge of policies and procedures and performs in accordance with applicable regulatory requirements, external laws and accreditation standards as they relate to recruitment and human resources practices.

  • Basic Qualifications:
  • Minimum of two (2) years work experience in Recruitment services or Human Resources support.
  • Education
  • Bachelor's degree OR four (4) years' experience in a directly related field.
  • High School Diploma or General Education Development (GED) required.
  • License, Certification, Registration

  • Experience in sourcing passive candidates with LinkedIn, applicant tracking systems and other recruiting tools.
  • Must have strong time management and organization skills.
  • Strong working knowledge of MS Office products (Word, Excel, PowerPoint).

  • Preferred Qualifications:
  • Project, program or change management, organizational development, talent acquisition or a related field.
  • Demonstrated interpersonal skill in establishing and maintaining effective working relationships including: collaboration, negotiation, consensus building, and conflict management with internal subject matter experts, human resources, and key resources, and external stakeholders from a wide range of functional areas, backgrounds and organizational levels.
