Direct, manage, supervise, and coordinate the activities and administrative operations of an academic department within the Kaiser Permanente Bernard J. Tyson School of Medicine.  Responsibilities include, but are not limited to, overseeing human resources support for the department, communications, management of educational and clinical programs and supervising staff members. Provide highly responsible and complex administrative support to leaders, physicians, faculty and staff and coordinate assigned activities with other divisions, departments, clinics, and outside agencies.  Implement work plans and strategies, policies and procedures for existing and new initiatives, including compliance and regulatory requirements. Work independently with minimal supervision, working toward accomplishment of established goals.

Essential Responsibilities:
  • Provide day-to-day supervision of business operations and administrative support staff. Supervise business and administrative practices to support department operations and objectives.  Ensure staff, faculty and students benefit from sound business and administrative practices.
  • Supervise staff, including selection, training and development, performance management, recognition, discipline and termination. Support all team members in achieving performance expectations and standards. Support a culture of excellent service and communication that positively influences staff engagement. Contribute to a safe, productive, and supportive work environment for all staff.
  • Supervise the day-to-day activities in accordance to ensure quality and departmental goals are met. Identify, coordinate and implement projects and/or programs to improve the quality and cost-effectiveness of operations.
  • Serve as a liaison between management, other departments, faculty, clinical site and clerkship directors and medical students. Resolve problems and complaints from departments, other managers and/or students. Conduct analyses and produce management reports.
  • Serve as the primary resource for all activities related to departmental educational and/or clinical programs. Interpret guidelines, advise management and train users in the required processes and procedures.
  • Oversee the day-to-day operational tasks of departmental staff; ensure that the support of the program is organized, timely and efficient.
  • Manage department communications including creation of newsletters, memos and coordinate outreach activities to ensure consistent messaging.
  • Basic Qualifications:
  • Minimum six (6) years of experience in professional administrative and management experience or related field.
  • Minimum two (2) years of supervisory experience.
  • Education
  • Bachelor's degree in business administration, economics, finance, accounting, operations, public health administration, or other related field OR four (4) years of experience in a directly related field.
  • High School Diploma or General Education Development (GED) required.
