The Senior Financial Aid officer is responsible for managing application processing, verification procedures, and reconciliation of state, federal and/or external loan and grant programs for all students enrolled in the medical school. The Senior Financial Aid Officer reports to the Senior Associate Dean for Student Affairs and works independently to develop and maintain efficient procedures for processing and reconciling aid. The officer will also be responsible for incorporating new regulations into the application and reconciliation process as needed. Engages in continuous quality improvement, responding to appropriate benchmarking data and student feedback.

Essential Responsibilities:

  • Responsible for effectively managing application processing, verification procedures, and reconciliation of at least state, federal and/or external loan and grant program in compliance with all regulations governing those programs. Develops and incorporates new regulations into the processes as needed.

  • Carefully interprets and implements federal and state rules and regulations required for student aid; and identifies and allocates available resources. Employs extensive knowledge and understanding of financial aid programs and regulations.

  • Advises students seeking financial aid. In particular, explains financial aid policies, procedures, and regulations to enrolled and prospective students in group settings, in writing, and at one on one appointments. Is available on a drop in and emergent basis as needed. Counsels students about financial aid implications and SOM policy when a student is enrolled less than full time, is dismissed, or withdraws.

  • Analyzes financial aid and need data and creates and generates reports from existing database using a computerized financial aid system to determine awards. Maintains record keeping and data management systems.

  • Communicates effectively across a range of settings with a variety of individuals of varying ages and cultural backgrounds and perspectives; to research, secure, and/or provide information to clarify situations, resolve problems, make public presentations, and/or provide training/guidance to other staff members.

  • Organizes work effectively to achieve timely progress on multiple simultaneous projects, distribute effort appropriately among the projects, meet deadlines and maintain a high level of productivity.

  • Performs needs analysis, assesses eligibility, and exercises professional judgment to determine allocation of aid awards under complex, specialized regulations or for escalated cases. Recommends packaging policies and strategies for allocation of awards to groups of students.

  • Engages in continuous quality improvement activities, including developing improvement plans related to national survey benchmarking data, for example Y2Q and GQ, as well as internal school-specific survey results. Messages any changes in policy or procedure pro-actively so that students and interested third parties are always kept up to date.

  • Basic Qualifications:


  • Minimum of six (6) years of experience in admissions, advising or other enrollment services function at a higher educational institution with a minimum of three (3) years financial aid support services.

  • Education

  • Bachelor's Degree in Education and/or Business or four (4) years of experience in a directly related field.

  • High School Diploma or General Education Development (GED) required.

  • License, Certification, Registration

  • Willingness to work outside of normal work hours, as needed.

  • Preferred Qualifications:

  • Familiarity with student aid programs and student processes.

  • Extensive and progressively responsible experience as a financial aid counselor or advisor to professional and graduate students.

  • Capacity to work independently, effectively, and under pressure during peak processing.

  • Organizational skills and ability to prioritize work and meet deadlines.

  • Demonstrated communication skills, analytical skills and attention to detail.

  • Advanced knowledge of policies, regulations, and practices for awarding financial aid. Specialized knowledge of particular programs.

  • Ability to interpret complex policies and develop procedures to ensure compliance.

  • Possesses advanced independent problem-solving skills, including the flexibility to manage changing requirements and expectations, and to respond to emerging challenges.

  • Master's Degree in Education and/or Business related field.
