Executive Assistant- to the Northwest Region, President (Kaiser Permanente Building)

Description: Comprehensive support of the NW Regional President in accomplishing business outcomes for the Northwest Region. Includes support of regional and national program goals. Provides complex coordination, and extends the capacity of the Northwest Kaiser Foundation Health Plan/Hospitals President in fulfilling strategic priorities, achieving KPNW performance targets, and promoting systems that enhance vice president individual performance and leadership development. This position is also responsible for promoting KFHP/H of the Northwest in partnership with the Northwest Permanente Medical Group, Labor and PDA Dental Services through appropriate avenues.

Essential Responsibilities:
  • KFH/H of the Northwest: To act on behalf of the Regional President in accomplishing complex administrative tasks which may involve making decisions and commitments within scope of authority. Independently provide assistance as needed to KPNW and program-wide executives. Maintain active knowledge of the duties of the regional vice presidents and executives on how their business, strategic priorities, and functional areas connect to regional strategic and operational plans. Proactively identify and address issues/barriers to promote realization of local and national strategic goals. Assist the Regional President in tracking outcomes/deliverables to support local performance and alignment with national program strategic priorities. Perform all duties as assigned/delegated to KPNW health Plan Regional Administration both locally and nationally. Represent and assist the Regional President in resolving difficult issues while maintaining confidentiality. These may include sensitive patient/member issues. Act as a liaison/agent for the Regional President on various regional and national groups, councils and committees. Coordinate and support executive meetings, local and national forums.
  • Management & Human Resources: Manage a variety of administrative staff in support of coordinated activities that anticipate the needs of the Regional President, and support the region. Directly supervise the department, function and problem-solving skills of the department staff. Directly supervise day-to-day administrative activities. Develop and communicate accountabilities to staff. Provide coaching, counseling, leadership and management for staff.
  • Project Coordination & Management (specific projects will vary according to local and national KFH/H priorities.): Contribute an array of knowledge and expertise to the Regional President to support the delivery on special projects as assigned. Provide a broad range of technical support to the Regional President and the Vice Presidents (examples: producing and organizing materials, data tracking and reporting, analysis of data). Coordinate the interpretation of information, policy, goals and strategic objectives, etc., and provide clarity on issues and policies, recommend and coordinate action plans, and participate in and coordinate resolutions.
  • Leadership Performance: KPNW Health Plan Vice Presidents: Support monthly feedback and development for Northwest Health Plan Vice Presidents. Investigate variations in performance for the purpose of identifying issues for inclusion in the Vice President monthly feedback program. Work in collaboration with the Regional President, HR Vice President, and Leadership consulting support to optimize Vice Presidential leadership development. Regularly utilize nationally recognized and program-wide tools. Assimilate, comprehend and develop practical applications for KPNW Health Plan Vice Presidents.

  • Basic Qualifications:
  • Minimum five (5) years of executive level administrative support experience.
  • Minimum two (2) years of experience in project coordination or management.
  • Minimum two (2) years of supervisory/management experience.
  • Bachelor's degree OR four (4) years of experience in a directly related field.
  • High School Diploma or General Education Development (GED) required.

    Additional Requirements:
  • Strong analytical and problem-solving skills.
  • Exceptional written and oral communication skills. Advanced skill in the use of Microsoft Office applications (such as Word, Excel, Power Point).
  • Proven project coordination, facilitation and team building skills.
  • Proven ability to synthesize complex and diverse information to formulate a recommendation or course of action.
  • Demonstrated ability to lead/supervise others. Must possess the ability to perform duties with the highest level of tact and confidentiality.

    Preferred Qualifications:
  • Project management experience.
  • Experience in managing a departmental budget within allocations.
  • Comprehensive knowledge of process improvement methodology (such as LEAN or RIM).
  • Demonstrated ability to evaluate program outcomes.
