Description:

The Materials Management Specialist works in conjunction with other Materials departments to manage and maintain Kaiser Foundation Health Plan of Washington's day-to-day standardized medical and office supply needs and equipment acquisition for one or more designated facilities. Fundamental functions include; managing the supply acquisition and distribution systems, maintaining a standardized system to control supply expenses via logical practices of PAR stocking adequate levels of supplies, partnering with customers to assure good communication exists, supporting infection control and emergency preparedness initiatives, and being the on-site resident experts for supply-chain management. Focus is on cost containment, budget development, and tracking operational and/or capital department needs. Depending on size and scope of facility, may supervise Materials Management staff.



Essential Responsibilities:

  • Oversees Materials Management operations for one or more assigned facilities. Maintains high level of knowledge and expertise by attending Clinical Department and Materials Management meetings, in-services, and classes as appropriate. Establishes and maintains records, ensures departmental performance standards, and coordinates product evaluations. Monitors and acts as a resource to department staff, physicians and management for procurement standardization and compliance by collaborating with co-workers and other departments in the systematic ordering of supplies, equipment and services based on the Procurement Policy and supply formulary guidelines. Ensures consistent supply chain methodologies, strategies, and services are being provided. Provides input for facility equipment planning and purchasing. Coordinates in services for new equipment and supplies

  • Directs supply and equipment orders; supply restock and rotation; supply store room organization; evaluation and adjustment of supply PAR levels as appropriate; daily management of the linen process including ordering, receiving, and distribution. Applies special handling procedures for gases, dangerous and hazardous materials and refrigerated or frozen materials. In Operating Room settings, is responsible for forecasting usage of specialty products and implants.  Works with vendors, following KP vendor guidelines, to order, receive, replenish and return specialty sets for specific cases.  Has Buyer functions of creating POs and reconciling Match Exceptions.

  • Develops and maintains partner relationships with all interfacing departments. Collaborates with department managers to establish and maintain effective inventory systems, identify and implement cost reduction strategies through usage analysis, and provide on-going education on supply chain policies and procedures as it relates to organizational goals. Monitors financial reports to remedy errors and report variances.

  • May supervise Materials Management Technician staff at assigned facilities. Recruits, hires, orients, trains, counsels, disciplines, and terminates as necessary. Assures staff members meet established departmental, service & operational goals and follow policies & procedures. Responsible for performance management and takes corrective action when necessary. Verifies and approves time cards. Maintains personnel and performance records.

  • High School Diploma OR General Education Development (GED) required.

  • License, Certification, Registration

  • Valid drivers license by date of hire/transfer.

  • Customer service experience.

  • Inventorying experience.

  • Warehousing experience.

  • Written and verbal communication skills.



  • Preferred Qualifications:

  • Two (2) years of materials management, inventory control or central sterile experience

  • Prior supervisory experience

  • Experience with basic business software and using a computer for order processing and inventory control

  • Nursing or Surgical Scrub Tech experience

  • Calm in high stress situations

  • Some medical experience


  • Associate's degree OR two (2) years of experience in a directly related field.
