Behavioral Health Outpatient Clinic Clerk - On-Call

Description: Under minimal direct supervision, performs a variety of clerical and reception duties as well as scheduling appointments on a limited basis for members visiting the Behavioral Health facilities. Acts as first point of contact for Kaiser Permanente members/patients and makes their needs a primary focus of one's actions; develops and sustains productive member/patient relationships. Actively seeks information to understand member/patient circumstances, problems, expectations, and needs.

Essential Responsibilities:
  • Greets and requests ID card and necessary information to check-in member.
  • Builds rapport and cooperative relationship with members/patients. Considers how actions or plans will affect members/patients; responds quickly to meet member/patient needs and resolve problems. These procedures are done according to practice, routine and established guidelines. Benefit Liaison - partners with KP business office to help provide financial or co-pay information to patients based on their selected benefit plan for Behavioral Health and refer to other departments and assistance as necessary.
  • Practices proper cash handling and reconciliation processes in accordance with established policies and guidelines. Completes a cash revenue deposit daily, itemizing all transactions via cash, check, and credit card charges and balance own deposit at end of day and deposited into facility safe. Prints out paperwork and notifies clinician that patient has arrived. Screens walk-in, crisis and nursing patients for safety concerns, medications, or other conditions that could affect decision as appropriate. Schedules appointments as directed. Ability to manage scenarios involving individuals in potentially life threatening crisis scenarios, patients under the influence of substance abuse, and potentially hostile/abusive patients.
  • Reviews the patient care chart history as necessary and responsible for communicating information between patients, providers and clinics per department protocols and guidelines (HIPAA, Break the Glass). Schedules interpreter for non-English speaking members or members that are hearing impaired. Must possess manual dexterity in using various systems simultaneously. Position requires working in high traffic area with constant interruptions. Requires consistent contact with members, patients, and staff. Responsible for release of mental health information (ROI). Maintenance of technical equipment necessary for the job, copy machine, fax machine, computers, kiosks, etc. Typing correspondence for clinicians, copying, filing, and listing groups and classes daily.
  • Consistently demonstrates the ability to prioritize and multitask as it relates to the member experience. Demonstrates critical thinking and problem solving during challenging patient interactions and situations. Restricted space, confined by computer and related equipment with limited movement. May be required to stand or sit for extended periods of time. Required to remain in assigned area and adhere to scheduled breaks and lunch. Workstations and cash handling areas monitored by video with panic button linked to security services. Some occupational lifting, up to 30 lbs. Highly effective verbal, written and interpersonal communication skills.
  • Other related duties as assigned.

  • Basic Qualifications:
  • Minimum two (2) years of work experience involving public contact, clerical, reception and cashiering duties, preferably in a medical/mental health environment (i.e., community mental health centers, hospitals, etc.).
  • High School Diploma or General Education Development (GED) required.

  • Extensive knowledge and use of the Health Connect system.
  • Must enjoy constant public contact and demonstrate strong communication techniques, customer service skills and problem solving skills.
  • Must demonstrate the ability to understand Kaiser Permanente customer needs.
  • Ability to prioritize and multi task.
  • Typing 35 wpm, and10-key proficiency.
  • Demonstrated skill with use of multi-sessions/windows and ability to read display terminals.
  • Working knowledge of data entry (Word, Excel).
