Scheduling Clerk
Under direct supervision, maintains master appointment schedules for all medical providers; operates data entry terminal and computer equipment to prepare appointment slips and cancel or reschedule appointments; performs related duties to coordinate scheduling of appointments.
- Maintains master appointment schedules for all medical providers (physicians and physician extenders); operates data entry terminal to enter scheduling data into computer; updates master schedule book and computer files to add new medical providers and make approved schedule changes.
- Verifies accuracy and completeness of monthly staffing schedules for medical providers and prepares expanded schedule of available appointment times using data entry terminal which includes deleting time increments when provider not available for appointments.
- Receives and reviews daily schedules, appointment cards and reports; separates and groups same according to individual providers; forwards to appropriate clerk.
- Cancels and reschedules appointments using data entry terminal and computer equipment; receives requested changes, makes necessary scheduling changes; prepares new appointments.
- Assists supervisor in coordinating and directing activities of data entry clerks; provides training in operation of data entry terminals and procedures for appointment entry; investigates and resolves problems related to entry of appointment data.
- Observes terminal and computer system operations to detect malfunctions; notifies supervisor and other appropriate personnel of problems; implements corrective measures as instructed.
- In absence of supervisor, performs limited responsibilities of position as assigned.
- Notifies supervisor or designated other individual of any significant delay or backlog in processing departmental work.
- Orders material and supplies as needed to assure adequate department inventories.
- Demonstrates knowledge, skills, and abilities necessary to provide culturally sensitive care and/or service.
- Performs other duties and accepts responsibility as assigned.

- Demonstrated knowledge of and skill in interpersonal relations, oral communication, quality management, results orientation, and written communication.
- Talking to co-workers, customers, outside vendors, and on the telephone.
- Reading, writing, speaking and understanding English.
- Training/giving and receiving instructions.
- Mathematical ability, attention to detail (e.g. organization, prioritization, proofing), concentration and alertness.
- One (1) to two (2) years clerical office/reception experience.
- Demonstrated knowledge of and skill in system and procedures.
