Departmental Clerk
Essential Functions:
- Review Medical Charts (Verify patient information, identify services & procedures, lab/radiology reports)
- Schedules appointments and completes appropriate forms as required by department
- Performs computer data entry functions.
- Performs technical skills specific to the department.
- Performs other related duties as necessary.
- Practices customer service standards as defined by the Medical Center and specified department.
- Anticipates the customer's needs, takes proactive steps to meet those needs, by listening and taking responsibility within scope to ensure issues are resolved.
- Promptly responds to alarms and patient requests.
- Facilitates the customer's ability to utilize resources.
- Assures a clean, orderly, and functional work environment.
- Manages difficult or conflict situations constructively and seeks appropriate assistance.
- Takes accountability for own actions.
- Acts as a resource and mentor to new employees, students, and other team members.
- Actively participates in departmental professional development activities.
- Adheres to Attendance Standards.
- Supports a collaborative labor-management partnership environment.
- Prioritizing requests and ensure completion based on departmental standards
- Maintains complete and accurate operational tracking systems (i.e., Health Connect)
- Communicates effectively with members, outside providers, vendors, co-workers, and other hospital personnel.
- Works as a team member to perform other miscellaneous clerical duties as required to support the overall operations of the department and Member Service Teams
- Consistently supports compliance and the Principles of Responsibility (Kaiser Permanente's Code of Conduct) by maintaining the privacy and confidentiality of information, protecting the assets of the organization, acting with ethics and integrity, reporting non-compliance, and adhering to applicable federal, state and local laws and regulations, accreditation and licensure requirements (if applicable), and Kaiser Permanente's policies and procedures.
- Models and reinforces ethical behavior in self and others in accordance to the Principles of Responsibility; adheres to organizational policies and guidelines; supports compliance initiatives; maintains confidences; admits mistakes; conducts business with honesty; shows consistency in words and actions; follows through on commitments.
- In addition to defined technical requirements, accountable for consistently demonstrating service behaviors and principles defined by the Kaiser Permanente Service Quality Credo, the KP Mission as well as specific departmental/organizational initiatives.
Also accountable for consistently demonstrating the knowledge, skills, abilities, and behaviors necessary to provide superior and culturally sensitive service to each other, to our members, and to purchasers, contracted providers and vendors.
Experience
-Previous general office experience in a healthcare setting required.
-Previous patient scheduling and receptionist experience required.
-Six months related experience.
-Medical Terminology Certificate or equivalent experience.
Education
-High School Diploma/GED
Additional Requirements
-Ability to read, write and comprehend medical information.
-Ability to effectively present information both verbal and written. Demonstration will be required at the department interview of basic word processing skills and ability to abstract from chart to compose a short, non-extensive narrative letter.
-Typing test, PC Skills and Medical terminology testing required,
-Demonstrated ability to display and project a courteous and professional demeanor in order to promote congenial interactions.
-Must be willing to work in a labor-management partnership environment.
Skills Testing:
Medical Terminology, PC Skills, and Typing (45wpm) *If it is determined that you need to complete testing to qualify for this position, you will receive an email inviting you to take the assessment(s) listed above. Passing test scores remain on file for one year.
