Job Summary:

In addition to the responsibilities listed below, this position is also responsible for reviewing and processing applications for federal and non-federal research funding for assigned KP regions to ensure research budget accuracy, completeness, and compliance with sponsor requirements and KP guidelines; providing necessary information, reports, and compliance documentation to meet government and funding agency requirements; monitoring and validating data in enterprise-wide research administration systems; providing consultation to physicians, investigators, and research staff; coordinating with research and accounting staff for assigned KP regions; and supporting the accuracy and completion of institutional research documents.

  • Assists with post-award administration by: Independently revising the budget to correspond with pending award documents in collaboration with project team; tracking progress reports and prior approval request due dates, and completing administrative requirements from funders, independently; performing day-to-day post-award activities(e.g., purchasing items; reviewing expenses, effort, and projections; performing reconciliations; invoicing) to support projects in collaboration with the project team; notifying project team of award actions and upcoming deadlines, and contributing to the completion of post-award requirements (e.g., annual reports, final reports); independently establishing and maintaining award systems, files, and accounts; reviewing and routing incoming and outgoing agreements for negotiation and execution; and conducting award closeout and coordinating with project team on closeout reports for submission to sponsor.
  • Assists with pre-award administration by: utilizing some knowledge of complex proposals to independently draft and review research proposal application elements, in collaboration with the project team, according to proposal guidelines for the submission; independently applying research methodologies, processes, and/or protocols, and utilizing grant management software and other related systems; advising and answering questions from stakeholders related to pre-award administration and proposal development, including the interpretation and application of granting agency policies, procedures, and regulations; independently developing and justifying project budgets in collaboration with the project team; and collaborating with project team and Investigator to prepare submissions (e.g., just-in-time) and participate in the award acceptance process, independently.
  • Contributes to research accounting by: preparing and providing accounting documentation (e.g., invoice, financial reports) of contracts and grants independently; making allowability, allocability, and reasonableness determinations, and communicating determinations to project team, with guidance; and independently preparing and submitting accounting entries (e.g., cost transfers, accruals), journal adjustments, and interregional invoicing documentation, participating in month-end, year-end, and/or audit-related close, completing related analysis as needed.
  • Facilitates research administration compliance by: independently writing and submitting proposals in compliance with all applicable federal, state, and local regulations and KP policies and procedures; and independently implementing research processes, procedures, and guidance for compliance with federal and KP regulations.
  • Contributes to research contracting by: independently negotiating basic contracts or agreements (e.g., amendments/modifications, confidentiality) and standard contracts or agreements (e.g., subawards, subcontracts, data use agreements, clinical trial agreements); reviewing, editing, and providing consultation to research administrators and Investigators on basic contract and legal terms (e.g., contract law, statements of work) and standard contract and legal terms (e.g., publication, confidentiality, intellectual property, data use, privacy and/or human subject regulations); and learning and collaborating with senior team members on complex contracts and agreements (e.g., data sharing and management plans, intellectual property licensing agreements, artificial intelligence projects, unique regulatory requirements) and/or on complex contract and legal terms (e.g., multi-site collaborations/consortia, multi-lateral data use and transfers, detailed genetic/genomics data, novel investigational drugs/devices, unique research collaboration structures).
  • Maintains internal and external stakeholder relationships by: independently communicating with internal (e.g., legal, purchasing) and external stakeholders (e.g., funders, contractors), as appropriate.
Minimum Qualifications:

  • Minimum three (3) years of research administration experience.

  • Bachelors degree in Humanities, Sciences, Public Health, Engineering, Public Administration, Business, or Accounting with emphasis in Business, Accounting, Management, Finance, Research Administration, or Health Care, or related field AND minimum three (3) years of experience in health care, research, academia, award management, or a directly related field OR Minimum six (6) years of experience in health care, research, academia, award management or a directly related field.

Preferred Qualifications:
  • Certified Research Administrator (CRA), Certified Pre-Award Administrator (CPRA), and/or Certified Financial Research Administrator (CFRA) certification from Research Administrators Certification Council (RACC).
  • Two (2) years of experience reviewing, negotiating, and/or determining the feasibility of clinical trials contracts and budgets.
