Job Summary:

The Certified Tumor Registrar/Oncology Data Specialist conducts case finding to identify reportable cases of cancer as required by internal Kaiser cancer registration policies and those mandated by cancer registry standard setting organizations and record on a computerized cancer registry abstract, pertinent cancer specific clinical information from the medical record in a standardized manner consistent with cancer registry standard setting organizations core data item requirements.  Mission: To assure cancer registry staff has a high level of competence required to provide accurate information for cancer surveillance and research activities.

Essential Responsibilities:

  • Casefinding - Accurate information is essential for successful use of the data by Kaiser research scientists and external public health agencies.
  • Requires ability to determine if each case is a new reportable primary cancer, a recurrence of previous primary, or metastases according to guidelines established by cancer registry standard setting organizations.
  • Skill involves in-depth review of pathology reports (KP and outside slide reviews), , cytology reports, radiation treatment summaries,  hospice lists, death certificates, oncology clinic visit reports, and HIM reports in order to determine reportability as per Cancer Reporting in California:  Abstracting and Coding Procedures for Hospitals, Volume I; ICD-0-3; Multiple Primary and Histology Coding Rules; Data Collection rules for Hematopoietic and Lymphoid Neoplasms.
  • Abstracting - Possess knowledge and technical skills to select, summarize and record on a computerized cancer registry abstract, pertinent cancer specific clinical information from the medical record in a standardized manner consistent with cancer registry standard setting organizations core data item requirements.
  • Reviews and analyze medical records to:  Identify and document on the cancer registry abstract pertinent patient-specific (demographic) information and pertinent site-specific clinical information.
  • Information captured includes diagnostic tests and procedures that definitively identify the primary site of cancer, extent of disease and tumor stage, treatment modalities, disease status following treatment, recurrence status, subsequent treatment and length of survival (outcome)
  • Assign appropriate codes for data items as required
  • Perform quality control activities to insure that data is abstracted and coded per California Cancer Reporting (CCR) reporting guidelines.
  • Review data queries and error reports within the scope of the assigned abstracting and coding functions and make corrections to the database.
  • Ensures data abstracted and/or coded are consistent with California Cancer Reporting (CCR) reporting guidelines.
  • Interacts with physicians to clarify documentation in order to support accurate patient diagnostic and procedural information.
  • Maintains abstracting timeliness and quality standards as per KP standards and in compliance with the California Cancer Registry (CCR) reporting rules.
  • Attends and participates in local, regional and national continuing education programs to insure that knowledge base is current.

Additional Requirements:
  • Ability to work collaboratively with local and regional Kaiser personnel and with representatives of cancer registry standard setting organizations such as the California Cancer Registry and its regional registry representatives.
  • Demonstrate strong cancer registry data collection technical skills in order to: Identify reportable cases of cancer as required by internal Kaiser cancer registration policies and those mandated by cancer registry standard setting organizations Select, summarize and record on a computerized cancer registry abstract, pertinent clinical information from the medical record in a standardized manner consistent with internal Kaiser cancer registration policies and cancer registry standard setting organizations core data item requirements.
  • Display a thorough understanding of Electronic Record Systems in order to process/condense pertinent medical information from Kaisers electronic medical records and transfer that information to the computerized cancer registry database, CNExT, in accordance with data collection and reporting guidelines in Cancer Reporting in California: Abstracting and Coding Procedures for Hospitals, Volume 1.
  • Must be able to work in a Labor Management Partnership environment. Demonstrate proficiency and up-to-date knowledge of the following cancer registry data collection standards manuals: o Cancer Reporting in California: Abstracting and Coding Procedures for Hospitals, Volume 1 o ICD-0-3 o SEER Multiple Primary and Histology Coding Rules o SEER Data Collection rules for Hematopoietic and Lymphoid Neoplasms o Collaborative Stage Data Collection System o AJCC Cancer Staging Manual o SEER Summary Stage 2010
  • Maintain data collection (abstracting) skill level that supports 97% accuracy rate established by the California Cancer Registry (CCR).
  • Maintain Oncology Data Specialist (ODS), formerly known as Certified Tumor Registrar (CTR) credential in order to sustain high level of current cancer diagnostic and treatment modalities by participating in educational symposia and meeting continuous education (CE) requirements.

Preferred Qualifications:
  • Experience in a multi-hospital environment.
  • Individual should be analytical, highly organized, detail-oriented along with solid follow-through and interpersonal skills; with the ability to work independently with minimal supervision.
  • Display understanding of Health Connect as it pertains to Cancer Registry data; ability to process/condense medical information from electronic records and transfer that information to the abstracting software program, CNExT.
  • Bachelors degree in a recognized allied health care field, college level classes to include medical terminology, anatomy and physiology, cancer biology, pathophysiology, and pharmacology.
