OR Scheduling Clerk G6
Position Summary:
Responsible for procedure scheduling in perioperative settings. The OR Scheduling Clerk must be efficient and effectively use the resources surrounding operative events by accurate and timely scheduling of cases, personnel and materials according to policies, procedures, and guidelines. The OR Scheduling Clerk must review perioperative data to identify gross inaccuracies and missing data elements.
Essential Duties and Responsibilities:
Maximize operating room utilization by appropriately booking the right type of procedure cases by priority and length of time using case management software
Create, move, cancel and reschedule cases for multiple services lines as needed; keep surgery schedule and wait list updated daily, adhering to local turnaround policy and guidelines
Perform specific operating room scheduling functions using current computer system and software
Manage/edit case depot as needed
Must review perioperative/ procedures, to identify any gross inaccuracies and missing data elements
Verifies discrepancies and coordinates change to manager
Secures patients chart and preparatory exams i.e.; history and physicals, lab, x-rays, and previous procedure reports, EKG-s and consents, etc
Works closely with surgeons, OR scheduling administrators, department medical assistants, surgeons and other surgery schedulers.
Knows when to seek additional information, prioritizes and performs several functions simultaneously and on a consistent basis.
Performs specific scheduling functions in case blocks, KPHC, Optime/Snapboard, moving cases from depot rescheduling cases, edit cases, and maintaining waitlists.
Communicate changes to the appropriate personnel and other departments
Utilize protocols to determine and communicate proper patient prep, including utilizing appropriate systems to check patient records and coordinate necessary lab tests and Rx, inform of cost share obligations, identify/document any medication related allergies and conduct screening questions
Independently problem solve issues and maintain detailed records and statistics. Submit monthly statistical reports on Excel.
Provide assistance to surgical or procedural patients by coordinating their dates; write letters to member concerning procedure or surgery issues as needed

While perform the duties of this job, the incumbent is regularly exposed to moving technical parts. Occasional exposure to inpatients and outpatients who may be experiencing a wide range of acute and chronic medical conditions. The noise level in the work environment is usually moderate.
Minimum Qualifications:
Completion of basic anatomy/physiology class as it related to surgical pre and post operative diagnosis and procedures or equivalent experience.
Completion of medical terminology class or equivalent experience (must pass medical terminology test)
Knowledge of surgical supplies and equipment
Demonstrates and communicates a service-oriented approach to all customers
Basic PC skills (must pass PC Skills Test)
Must have spreadsheet skills and word processing skills (Microsoft Word and Excel)
Knowledge of office equipment (fax machine, copier and scanner)
Ability to clearly speak, read, write and thoroughly understand English, as well as demonstrate strong non-verbal communication skills
Ability to learn and willingness to follow policies and procedures
Must be willing to work in Labor Management Partnership environment
