Medical or Business Record Scanner
Essential Responsibilities:
- Receive and sort all loose documents for scanning into the electronic medical or business record/scanning system.
- Sort documents first by urgency (24 or 48 hours), then by color and number of sides.
- Verify all indexing information is on each document. If documents do not have appropriate indexing information, will send document back to the originating department. Screens incoming documents for accuracy by validating against National retention codes. Ablility to identify nonstandard forms and determine action required.
- Prepare documents for the scanning process by following dept guidelines for processing poor quality originals removing paper clips and staples, arranging all documents so that the correct side is facing up. Remove any documents which do not have the necessary information. Batch all documents for scanning. Open the scanning application and enter batch type data or required information. Place batched documents into the scanner and scan each document. Perform initial visual quality review of each scanned image to ensure the image is legible, thereby ensuring the integrity of the electronic medical and business record. Ensure that each document has been scanned. Delete blank scans. Make necessary corrections to mis-scanned documents. Re-scan any documents which did not scan appropriately.
- Maintain the original paper documents in batched order and send to the Indexer or file for storage based on department.
- Perform routine cleaning of the scanning equipment. Maintain scanning equipment in proper operating condition.
- Give all non-legible documents to the Quality Assurance Clerk, or following department guidelines as instructed.
- Perform other related duties as necessary, which may include and not be limited to filing, answering phones, and other departmental support functions.

- Ability to read and comprehend complex instructions, correspondence, and medical/business record documents in English.
- Ability to write simple correspondence using email.
- Working knowledge of computer applications to include Windows 95/97 or future versions of Windows NT is required.
- Must be willing to work in a Labor Management Partnership environment.
- Also refer to Position Specifications outlined in the appropriate collective bargaining agreement.
- Ability to review and sort all types of medical and business record documents.
- Working knowledge of PCs and the ability to navigate in a Windows environment utilizing a mouse.
- Basic knowledge of office equipment (fax machine, copy machine, scanner).
- Ability to clearly speak, read, write and thoroughly understand English.
- Ability to learn policies, procedures and to differentiate between medical and business record documents.
- Ability to file documents in the appropriate place in the electronic medical and business record.
- Ability to learn scanning and electronic medical and business record system applications.
