Description:
Job Summary:

Performs variety of office/clerical duties to assure proper staffing and scheduling of inpatient nursing units. Maintains staffing information in multiple scheduling/staffing databases. Works with local temporary nurse agencies as staffing resource. Audits timecards of inpatient staff every other week using the automated time reporting system.

Essential Responsibilities:


  • Receives acuity information from all nursing units. Inputs same into computer. Processes and evaluates results of input to determine staffing needs.

  • Identifies staffing shortages. Takes appropriate action to resolve. Calls and schedules staff as required.

  • Receives staffing calls. Apprises appropriate unit or shift supervisor of pertinent information and action taken.

  • Maintains current employee information on automated scheduling/staffing database.

  • Generates reports as needed.

  • Collects, reviews timesheets for completion. Interprets and enters manual timesheets into automated time reporting system. Audits and reconciles same against schedules.

  • Coordinates local contemporary nurse agency personnel. Places and cancels requests with agencies with supervisor approval. Schedules daily assignments.

  • Uses automated system to notify staff of available vacant shifts and resolve staffing issues.

  • Prepares staff schedules for clinical departments and centralized float pools. Applies collective bargaining unit agreements and Kaiser polices and procedures to scheduling process.
Basic Qualifications:
Experience


  • Minimum one (1) year of office experience.

Education

  • High School Diploma or General Education Development (GED), or equivalent related experience.
License, Certification, Registration
  • N/A
Additional Requirements:

  • Demonstrated knowledge of and skill in organizational skills, time management, detail-oriented, oral communication, written communication, interpersonal relations, and customer service.
  • Demonstrated knowledge of and skill in database, word and spreadsheet PC applications.
Preferred Qualifications:

  • Staffing and scheduling experience.
  • Working knowledge of automated scheduling/staffing system(s).
  • Bachelors degree.
