Job Summary:

Dr. Paola Gilsanz’s cognitive health research team is seeking an organized, communicative & detailed-oriented individual to support the in office, front end operational administrative team activities for the Study of Healthy Aging in African Americans (STAR)and KHANDLE (Kaiser Healthy Aging and Diverse Life Experiences). We are committed to building a diverse team that reflects the diversity of our participant population. Duties include management of study related mailings including recruitment and daily participant correspondence; copying, filing & tracking of materials; quality assurance of questionnaires; requires coordination of study information with interviewing staff to ensure recruitment, tracking & reimbursement is maintained in a timely manner under the supervision of the project manager. The applicant will work in the office part time during regular business hours – exact weekly schedule is negotiable but must be in the office (not virtual) and during business hours. 


Conducts telephone or in-person interviews with study participants. Recruits and consents study participants. Assists in training new study staff in study protocols and provides instruction to study participants. Uses computer software to provide basic data management and generate reports.



Essential Responsibilities:


  • Assists in training new study staff in protocols and implementation of study goals/objectives. Provides instruction to participants to teach them how to perform specific study protocols. Prepares computer-generated reports, including statistical tables. Answers participants and providers questions. Screens and recruits participants; obtains consent.

  • Schedules examination appointments for study participants. Conducts telephone or in-person interviews with study participants and providers. Reviews questionnaires for completeness and accuracy; checks for inconsistencies; and codes open-ended questions. Assists with all aspects of mailed surveys. Monitors participants progress (e.g., blood pressure, exercise, response to questionnaires, tracking, etc.). Provides basic data management using database software. Maintains all pertinent project records and files. Transcribes data from records to forms.

  • Kaiser Permanente conducts compensation reviews of positions on a routine basis. At any time, Kaiser Permanente reserves the right to reevaluate and change job descriptions, or to change such positions from salaried to hourly pay status. Such changes are generally implemented only after notice is given to affected employees.




Secondary Functions:


This is for 1-2 years. Continuation is contingent upon contract/grant funding. 

Basic Qualifications:

Experience


  • Minimum of one (1) year experience in a research/health care environment required

  • Bachelors degree may substitute for experience requirement.


Education


  • Associates degree OR two (2) years of experience in a directly related field.

  • High School Diploma or General Education Development (GED) required.


License, Certification, Registration


  • N/A


Additional Requirements:


  • Experience with computer applications, such as word processing and database software, required.

  • Experience in editing/coding questionnaires required.

  • Interviewing experience required.

  • Excellent interpersonal and communication skills; telephone skills required.

  • Familiar with medical terminology.

  • Must be able to work in a Labor/Management Partnership environment.

    • Exceptional professional oral and written communication skills.

    • Strong organizational skills, self-motivated and detailed oriented.

    • Ability to work both independently and collaborate effectively.

    • Ability to multitask and prioritize tasks aligned with team goals.

    • Strong foundational knowledge and experience with Excel, Power Point and Teams.
